Privacy Policy
Effective date: 21 May 2026 Last updated: 21 May 2026
This privacy policy describes how Scavare Group Pty Ltd (ABN 53 635 221 886), trading as aiRANKSEO (“we”, “us”, “our”), collects, uses, and protects personal information in accordance with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
Information We Collect
We may collect the following personal information:
- Contact details: Name, email address, business name, website URL, phone number (when you supply it).
- Enquiry details: Information you provide in our quote form or in a Meta (Facebook or Instagram) Lead Ad form, including current service costs, monthly marketing or SEO spend, and business goals.
- Website analytics: Anonymous usage data collected via Google Analytics 4 (page views, device type, geographic region).
- Advertising measurement: Page-view and conversion (form-submission) events collected via the Meta Pixel (client-side, runs in your browser) and, when enabled, the Meta Conversions API (server-side, runs on our hosting infrastructure) for measuring the performance of our Facebook and Instagram advertising campaigns. When you submit our quote form, a server-side event may be sent to Meta from our infrastructure containing a hashed version of your name, email, and phone number (one-way SHA-256 hash — Meta cannot reverse it to recover the original values), together with your IP address, browser user-agent string, and the
_fbpand_fbcMeta browser cookies if present. This data is used solely to match the conversion to your existing Meta account (if any) for ad attribution and is not used to build a profile of you outside of Meta’s standard advertising systems. Pixel Automatic Advanced Matching remains disabled. - Lead Ad submissions: If you click one of our Facebook or Instagram ads and submit a Meta Lead Ad form (Instant Form), Meta collects the form-field values (name, email, phone, website, spend bracket) on our behalf and we retrieve them from Meta’s servers via the Meta Lead Ads API.
- Technical data: IP address, browser type, and operating system (collected automatically by our hosting provider).
How We Collect Information
We collect personal information:
- Directly from you — when you submit our website quote form or a Meta Lead Ad form attached to one of our ads.
- Automatically — through analytics and advertising-measurement tools when you visit our website or interact with our ads.
- From third parties — if you interact with us through a directory listing, referral, or via Meta’s lead retrieval systems.
How We Use Your Information
We use your personal information to:
- Respond to your enquiries and provide quotes.
- Deliver our website rebuild and SEO services.
- Send you monthly reports (if you are a client).
- Measure the performance of our Facebook, Instagram, and search advertising campaigns, including matching your conversion to the ad click that originated it.
- Build and maintain advertising audiences on Meta (Custom Audiences and Lookalike Audiences — see “Third-Party Services” below).
- Improve our website and services through analytics.
- Comply with legal obligations.
We will never sell, rent, or share your personal information with third parties for their own marketing purposes.
Third-Party Services
We use the following third-party services that may process your data:
- Google Analytics 4 — website analytics (anonymous, aggregated data).
- Meta Pixel and Meta Conversions API (Meta Platforms Inc.) — measure the performance of Facebook and Instagram advertising. The Pixel (client-side, runs in your browser) sends page-view and form-interaction events to Meta. The Conversions API (server-side, runs on our hosting infrastructure when enabled) sends conversion events (form submissions) to Meta from our servers, including a SHA-256-hashed copy of your name, email, and phone number for ad attribution. We do not transmit unhashed personal data via either channel. Pixel Automatic Advanced Matching remains disabled.
- Meta Lead Ads (Meta Platforms Inc.) — collects form submissions made through our Facebook and Instagram ads (“Instant Forms”). Meta stores the form responses on its servers and we retrieve them via the Meta Lead Ads API. Meta retains lead data for up to 90 days from submission before it is deleted from Meta’s lead-storage systems; we may retrieve and store it for longer in our own systems (see “Data Retention” below).
- Meta Custom Audiences and Lookalike Audiences (Meta Platforms Inc.) — from time to time, we may upload a one-way SHA-256-hashed copy of customer email addresses and phone numbers to Meta to create a “Custom Audience” for retargeting, and a “Lookalike Audience” of similar Meta users for prospecting. Meta cannot reverse the hash to recover your original values; it uses the hash only to identify whether you have an existing Meta account that matches the hash, and to select similar users for ad targeting. You can opt out by emailing info@airankseo.com.au with the subject “Audience opt-out”.
- Meta Offline Conversions (Meta Platforms Inc.) — from time to time, we may upload a one-way SHA-256-hashed copy of customer email addresses, together with the value and date of any purchase or service contract, so that Meta can measure how our ad campaigns translate into real-world sales. This data is used solely for advertising measurement; it is not used to build a profile of you outside of Meta’s standard advertising systems.
- Cloudflare — website hosting, CDN, and email routing for our domain (processes technical request data).
- Zoho Mail — inbound and outbound email processing for info@airankseo.com.au (Zoho Corporation, processes the content of emails sent to and from this address).
- Form handler (Formspree) — processes our website quote-form submissions (name, email, business website, enquiry details).
Each service has its own privacy policy governing how they handle data.
Cross-Border Data Transfer
When you submit our website quote form or a Meta Lead Ad form, or when we upload Custom Audience or Offline Conversion data, the following data is transmitted to Meta Platforms, Inc. in the United States:
- Hashed contact details (name, email, phone — one-way SHA-256)
- Technical data (IP address, browser user-agent, Meta
_fbp/_fbccookies if present) - Form-field responses (in the case of Meta Lead Ads)
- Purchase value and date (in the case of Offline Conversions)
We may also transmit a smaller subset of technical data to Google (United States) via Google Analytics 4 and to Cloudflare (United States) as part of hosting and CDN operations.
This constitutes a cross-border disclosure of personal information under Australian Privacy Principle 8 (APP 8). The legal basis for these transfers is our legitimate interest in measuring the performance of our advertising campaigns and operating our website infrastructure, together with the consent you provide by submitting the form or interacting with our ads after reading this privacy policy.
Each recipient is bound by its own privacy framework — Meta’s policy is published at https://www.facebook.com/privacy/policy/, Google’s at https://policies.google.com/privacy, and Cloudflare’s at https://www.cloudflare.com/privacypolicy/.
Data Retention
We retain personal information only for as long as we need it for the purpose it was collected, plus any period required by Australian law:
- Quote-form submissions and email enquiries: 7 years (Australian taxation and business-records obligations).
- Active client records: for the duration of the engagement plus 7 years after the engagement ends.
- Marketing audiences (Meta Custom Audiences): until you opt out or until the audience is rebuilt (typically every 90 days).
- Analytics data (Google Analytics 4): 14 months default retention, then automatically deleted by Google.
- Meta advertising event data (Pixel / CAPI): approximately 90 days at Meta for optimisation, after which Meta aggregates and de-identifies the data.
- Meta Lead Ads form responses (on Meta servers): up to 90 days from submission, then deleted by Meta.
- Technical logs at our hosting provider (Cloudflare): typically 30 days, then automatically rotated out.
Data Security
We take reasonable steps to protect your personal information from misuse, interference, loss, and unauthorised access. Our website uses HTTPS encryption, our email infrastructure uses TLS-encrypted transport with DKIM, SPF and DMARC alignment for authenticity, and we follow industry best practices for credential storage and access control.
Your Rights
Under the Australian Privacy Principles, you have the right to:
- Access your personal information that we hold.
- Correct any inaccurate information.
- Request deletion of your personal information (subject to legal record-keeping obligations).
- Opt out of analytics tracking via your browser’s cookie controls or Google’s opt-out browser add-on at https://tools.google.com/dlpage/gaoptout.
- Opt out of Meta advertising and audience tracking via your browser’s cookie controls, via Meta’s Ad Preferences at https://www.facebook.com/adpreferences/, or by emailing info@airankseo.com.au with the subject “Meta opt-out” and we will (a) exclude your contact details from future server-side conversion events, (b) remove you from any Custom Audience we have uploaded, and (c) exclude you from future Offline Conversion uploads.
To exercise any of these rights, email us at info@airankseo.com.au.
Cookies
Our website uses:
- Essential cookies for site functionality.
- Analytics cookies (Google Analytics 4) for understanding how visitors use our site.
- Advertising cookies (Meta Pixel, including the
_fbpand_fbccookies set by Meta) for measuring the performance of any Facebook or Instagram ads we run. When the Conversions API is enabled, these cookies, when present at the time of form submission, are also forwarded to Meta via our server-side integration so that conversions can be matched to the originating ad click.
You can disable cookies in your browser settings. Disabling the _fbp and _fbc cookies will not prevent the form from working — it will only reduce the accuracy of advertising attribution.
Changes to This Policy
We may update this privacy policy from time to time, including when we add new advertising-measurement integrations or other third-party services. Material changes will be posted on this page with an updated effective date.
